LectureScribe AI ("we", "us", or "our") is a lecture recording and note-taking application that records your lectures as audio, transcribes that audio into text using speech recognition, organizes the transcript into structured bullet-point notes using artificial intelligence, saves those notes into a new Google Document in your own Google Drive, and provides an AI-powered question-and-answer chatbot that lets you ask questions about your saved transcripts. This Privacy Policy describes what information we collect, how we use it, who we share it with, how long we keep it, and the choices and rights you have.
1. Information We Collect
1.1 Information you provide
- Account information: When you create an account we collect your email address and full name. If you register with Google, we receive the name and email address associated with your Google profile.
- Lecture title and class: Before each recording you enter a recording name and select a class folder; both are stored with the lecture.
1.2 Information collected automatically
- Audio recordings: The microphone audio you capture while recording a lecture. The audio is uploaded from your device to our servers for transcription.
- Transcripts: The text produced from your audio by our speech-to-text transcription service. Transcripts are stored in your account and used to create your Google Doc and to power the AI chatbot.
- Generated notes: The structured, bullet-point notes produced by an AI language model from your transcript. These are saved both to your account and to your Google Doc.
- Usage and account data: Your subscription plan, the number of recordings you have made, and timestamps, which we use to enforce plan limits and display your recent lectures.
- Technical data: Standard request data such as IP address and browser type, collected automatically when you use the Service.
2. How We Use Your Information
- To create and manage your account and authenticate your sessions.
- To record, upload, and transcribe your lecture audio into text.
- To process your transcript with an AI language model that organizes it into hierarchical bullet-point notes and detects topic transitions.
- To create a new Google Document in your own Google Drive and write the formatted notes into it on your behalf.
- To provide an AI question-and-answer chatbot (available to Pro-tier subscribers) that answers questions based on the content of your transcripts.
- To generate AI study guides from your class and lecture content (available to Base and Pro-tier subscribers).
- To enforce the recording limits of your subscription plan.
- To process subscription payments and manage your subscription.
- To provide customer support and respond to your requests.
- To detect, prevent, and address fraud, abuse, and security issues.
We do not use your personal information or lecture content to train our own models, and we do not sell your data.
3. Google API Data Use
LectureScribe AI uses Google APIs, including Google Sign-In and the Google Docs API. When you connect your Google account you grant us permission to:
- Read your basic profile information (name and email) to create and identify your account.
- Create new Google Documents in your Google Drive and insert your formatted lecture notes into them.
How we use data received from Google APIs: We use the name and email from your Google profile only to identify your account. We use the Google Docs API only to create and write documents that you explicitly request by recording a lecture. We do not use Google API data for advertising, and we do not transfer or share data received from Google APIs to any third party except as necessary to provide the Service you requested (for example, sending your transcript text to our AI provider to generate notes, or to our payment provider to process a subscription). Google API data is accessed and used in accordance with Google's API Services User Data Policy, including the Limited Use requirements.
4. Third-Party Services
We rely on the following third-party services to operate the Service. Each service processes data only as needed to provide the feature you are using, and is governed by its own privacy policy.
- Google: Provides account authentication (Google Sign-In) and the Google Docs API used to create and write documents in your Google Drive. When you connect your account, Google shares your profile name and email with us, and grants us permission to create documents on your behalf.
- Speech-to-text transcription: Your uploaded audio is sent to a transcription service that converts it to text. The transcript is returned to us and stored in your account.
- AI language model providers: Your transcript text is sent to an artificial intelligence provider to generate structured bullet-point notes, study guides, and chatbot answers. The provider processes the transcript text solely to return the requested output and does not use it to train its public models.
- Payment processor: Subscription payments are handled by our payment provider. We receive a confirmation of your subscription status but we do not collect or store your full credit card number.
- Hosting and infrastructure: Our application and database are hosted by our platform provider, which stores your account data and lecture content on our behalf.
5. Data Storage and Retention
Your account data, lecture recordings, transcripts, generated notes, and study guides are stored in your account for as long as your account remains active. Specifically:
- Audio files are uploaded for transcription and are retained so that you can re-process or review them. You can delete any individual lecture at any time, which removes the recording and its transcript from your account.
- Transcripts and notes are stored in your account and, when you record a lecture, are also written into a Google Doc that you own in your own Google Drive. The Google Doc remains in your Drive under your control even if you delete the lecture from the app.
- Account and subscription data is retained for the life of your account.
When you delete your account from within the app, we delete your lectures, transcripts, generated notes, study guides, and classes, and we revoke our access to your Google account so no new Google Docs are created on your behalf. Your user account record and billing/transaction records are retained as necessary for legitimate business and legal record-keeping obligations. Private audio files associated with deleted lectures are scheduled for removal. Google Documents you previously created remain in your own Google Drive under your control unless you delete them there.
6. Data Sharing and Disclosure
We do not sell, rent, or trade your personal information or lecture content. We share your data only in the following circumstances:
- With service providers: With the third parties described above, strictly to provide the features you request (transcription, AI note formatting, chatbot, study guides, document creation, and payment processing).
- To complete your requests: When you record a lecture, we share your transcript with our AI and Google Docs providers to generate and save your notes.
- For legal reasons: If required by law, court order, or government regulation, or to protect the rights, property, or safety of our users or others.
- Business transfers: In connection with a merger, acquisition, or sale of assets, in which case we would notify you before your data is transferred.
Your lecture content is visible only to you. Other users cannot see your recordings, transcripts, notes, or study guides.
7. Your Privacy Rights and Choices
You have the following rights regarding your personal data:
- Access: You can view your lectures, transcripts, notes, and account information at any time within the app.
- Delete: You can delete individual lectures and study guides at any time. You can also permanently delete your entire account and all associated data, including recordings and transcripts, from within the app's account menu.
- Disconnect Google: You can revoke our access to your Google account at any time through your Google Account security settings, which stops the Service from creating new Google Docs on your behalf.
- Manage subscription: You can cancel your subscription at any time; cancellation stops future charges but does not by itself delete your data.
- Object or restrict: You may contact us to object to or restrict certain processing of your data.
- Data portability: Because your notes are saved as Google Documents in your own Drive, you can export or copy them at any time.
If you are a resident of certain regions, such as the European Economic Area, the United Kingdom, or California, you may have additional rights under applicable data protection laws, including the right to request access to, correction of, or deletion of your personal data.
8. Security
We take reasonable technical and organizational measures to protect your data, including secure authentication, encrypted data transmission (HTTPS), and access controls that limit data to you and authorized service providers. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International Data Transfers
Your data may be processed in countries other than your own, including the United States, where our servers and service providers are located. We take steps to ensure your data is protected in accordance with this Privacy Policy and applicable law when transferred internationally.
10. Children's Privacy
The Service is not directed to children under 13 (or the applicable age of digital consent in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
11. Cookies and Tracking
The Service uses essential authentication tokens to keep you signed in and does not rely on advertising cookies. We do not use tracking cookies to follow you across other websites or to serve targeted advertising.
12. Detailed Google API Scope Usage
LectureScribe AI requests access to specific Google API scopes only when needed to provide the Service. The scopes we may request, and the exact purpose of each, are:
- openid and profile (Google Sign-In): Used to verify your identity when you sign in with Google and to read your name and email address to create and identify your account. We do not access any other profile information from your Google account.
- Google Docs API (document creation): Used to create a new Google Document in your Google Drive and to insert your formatted, AI-structured lecture notes into that document. We create one document per lecture recording, at the moment you finish a recording. We do not read, edit, or delete any existing documents in your Drive.
We do not request, and will never request, access to your Google Contacts, Gmail messages, Google Calendar, Google Photos, or any other Google data beyond the scopes listed above. You can review and revoke our access to your Google account at any time by visiting your Google Account → Security → Third-party apps with account access.
13. Lawful Basis for Processing (GDPR)
If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process your personal data on the following lawful bases under the General Data Protection Regulation (GDPR):
- Performance of a contract: We process your email, name, lecture audio, transcripts, and notes to deliver the recording, transcription, note-generation, and Google Docs features you signed up to use.
- Consent: We process your data for the AI Q&A chatbot and study guide generation features based on your consent when you connect your Google account and initiate these features. You can withdraw consent at any time by deleting the relevant lecture or disconnecting your Google account.
- Legal obligation: We retain billing and transaction records as required by applicable tax and financial regulations.
- Legitimate interests: We process technical data such as IP address and usage logs to secure the Service, prevent fraud, and maintain platform integrity.
14. Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will take reasonable steps to notify affected users without undue delay. Our notification will describe the nature of the breach, the likely consequences, the measures we have taken or propose to take to address it, and how you can protect yourself. We will also notify the relevant supervisory authority where required by applicable law.
15. Third-Party Links and Content
The Service may contain links to third-party websites or services that we do not own or control, such as links to your generated Google Documents. We are not responsible for the privacy practices or content of these third-party sites. When you follow a link to a third-party site, you are subject to that site's own privacy policy and terms of service. We encourage you to review the privacy policies of any third-party sites you visit.
16. Educational and Professional Use
LectureScribe AI is intended for use by students, educators, and professionals who wish to record lectures, meetings, or presentations that they are authorized to record. You are solely responsible for ensuring that you have the legal right and any necessary consents to record audio in your specific situation. Some institutions and jurisdictions require the consent of all participants before recording. We do not provide legal advice, and you should consult your institution's policies or applicable laws regarding audio recording before using the Service.
17. How to Exercise Your Rights
To exercise any of the rights described in this Privacy Policy:
- Access or review your data: Open the app and navigate to your list of lectures or classes to view your recordings, transcripts, and notes at any time.
- Delete specific data: Open any lecture or study guide and tap the delete option to permanently remove it from your account.
- Delete your entire account: Open the account menu in the app and select "Delete account." This deletes your lectures, transcripts, notes, study guides, and classes, and revokes our access to your Google account. Your user account record and billing records are retained per legal obligations, as described in Section 5.
- Disconnect Google: Visit your Google Account security settings and remove LectureScribe AI's access to stop future document creation.
- Contact us: For any other privacy request, including correction, restriction, or data portability, reach out through the app's support channels and include "Privacy Request" in your message.
We will respond to your request within 30 days. If we cannot fulfill your request, we will explain why.
18. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, for significant changes, notify you within the app. We encourage you to review this page periodically. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
19. Contact
If you have questions, requests, or concerns about this Privacy Policy or your personal data, please contact us through the in-app support channels. For privacy-related requests, include "Privacy Request" in your message.
